Terms & Conditions 

  1. BOOKINGS AND PAYMENT

1.1 A booking is confirmed only once Gourmet Graze has received the required deposit payment and issued written confirmation of the booking.

1.2 All deposits are non-refundable, as they secure the Event date and cover administration, planning, staffing, and preparation costs incurred by Gourmet Graze.

1.3 The remaining balance must be paid no later than 30 days prior to the Event date unless otherwise agreed in writing.

1.4 For bookings made within 30 days of the Event date, full payment is required at the time of booking.

1.5 Payments may be made via BACS transfer, debit card, or credit card.

1.6 Gourmet Graze reserves the right to cancel or suspend services where payment is not received by the due date. Any cancellation due to non-payment shall not release the Client from liability for charges already incurred.

2. CANCELLATION AND REFUNDS

2.1 Any cancellation request must be made in writing by the Client.

2.2 Where cancellation is made more than 28 days before the Event date, the deposit paid shall be retained by Gourmet Graze and shall remain non-refundable and non-transferable.

2.3 Where cancellation occurs within 28 days of the Event date, the Client may remain liable for charges reasonably incurred by Gourmet Graze up to the full booking value. This includes, but is not limited to, staffing commitments, food orders, preparation costs, supplier charges, and loss of booking opportunity.

2.4 Gourmet Graze will take reasonable steps to mitigate losses where possible.

2.5 In the unlikely event that Gourmet Graze is unable to fulfil the booking due to circumstances within its control, any monies paid by the Client shall be refunded in full. Gourmet Graze shall not be liable for any indirect or consequential losses arising from such cancellation.

3. CLIENT RESPONSIBILITIES

3.1 The Client is responsible for ensuring that accurate Event details are provided at the time of booking, including venue information, guest numbers, dietary requirements, access restrictions, and setup requirements.

3.2 The Client shall ensure that the Event area is suitable, safe, and accessible for setup and service.

3.3 Where the Event is outdoors, the Client must provide suitable cover and weather protection where necessary.

3.4 The Client is responsible for providing appropriate tables, power supply (if required), and sufficient setup space unless otherwise agreed in writing.

4. ACCESS, LOADING, AND PARKING

4.1 The Client shall provide suitable loading and unloading access as close as reasonably possible to the Event location.

4.2 Any restrictions relating to stairs, lifts, parking, timed access, or venue regulations must be disclosed prior to the Event.

4.3 Any parking charges, congestion charges, tolls, or venue access fees incurred by Gourmet Graze in connection with the Event will be charged to the Client.

5. FOOD SAFETY AND ALLERGENS

5.1 While Gourmet Graze takes reasonable care in preparing and handling food, all food is produced in environments where allergens are present.

5.2 Clients must inform Gourmet Graze of any allergies or dietary requirements prior to the Event. Gourmet Graze cannot guarantee the complete absence of allergens.

5.3 Once food has been delivered, set up, or served, responsibility for appropriate storage and handling passes to the Client.

5.4 Food safety guidance may vary depending on venue conditions and ambient temperature. Gourmet Graze accepts no responsibility for food left unrefrigerated or consumed outside recommended serving periods.

6. INSURANCE

6.1 Gourmet Graze maintains Public Liability Insurance and Employers’ Liability Insurance where legally required.

6.2 Gourmet Graze’s insurance does not extend to equipment, stock, or items supplied by the Client or Venue.

6.3 Clients are encouraged to obtain their own Event insurance where appropriate.

7. LIMITATION OF LIABILITY

7.1 Gourmet Graze shall not be liable for delays, failure to perform, or cancellation caused by circumstances beyond its reasonable control, including but not limited to severe weather, accidents, traffic disruption, supplier failure, power outages, government restrictions, or force majeure events.

7.2 Gourmet Graze shall not be liable for any indirect, consequential, or financial losses suffered by the Client.

7.3 Nothing within these Terms shall limit or exclude liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any liability which cannot legally be excluded under English law.

8. DEBT RECOVERY

8.1 Gourmet Graze reserves the right to recover reasonable costs incurred in pursuing unpaid debts, including legal fees, debt recovery costs, court fees, and statutory interest where applicable.

9. CHANGES TO BOOKINGS

9.1 Any requested changes to guest numbers, menus, timings, or Event details must be made in writing and may be subject to additional charges.

9.2 Gourmet Graze will make reasonable efforts to accommodate amendments but cannot guarantee availability of requested changes.

10. GENERAL

10.1 Payment of the deposit or any invoice issued by Gourmet Graze constitutes acceptance of these Terms and Conditions.

10.2 These Terms and Conditions supersede any previous agreements or understandings between the parties, whether written or verbal.

10.3 If any provision within these Terms is deemed unlawful or unenforceable, the remaining provisions shall remain in full force and effect.

10.4 These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

10.5 Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
